JOB SCOPE
\[The Property Administrator liaises with internal and external departments while being responsible for administrative duties in Property Management department. Accuracy, record keeping, document filing and practicing due diligence are the key parameters for this role.
\[Reporting to the Property Manager, the Property Administrator will play a critical role in helping the Property Management department achieve its objectives.
PRINCIPAL ACCOUNTABILITIES
\[To be successful, the incumbent must develop a collaborative work ethic between all departments and understand the property market in detail.
\[Generate new leases and renewals in compliance with the departments’ standard operating procedure and the local regulations of the market and take charge of any problematic contract tasks to solve directly or with the assistance of supervisory involvement.
\[Manage contracts and documentation signing, system updates and reporting, registration of tenancy contracts and ensure the operation is as per company policy in correlation with landlords’ policies and Property Management Agreement. Other accountabilities include, but are not limited to:
- ensure that documents required are completed (booking form, tenant information, valid passport copy with visa page residence, emirates id, trade license copy for corporate booking, power of attorney for authorized signatory, as well as co occupant’s documents.
-Keeping up to date with the relevant rental laws and any other guidelines by the land department, municipality and/ or other relevant government authorities.
-Ensure timely and efficient updates of all records on property management software including:
-Publish/ add/ update units including upload of landlord documents Tenants contracts
\[Follow department procedure for all tenancy contracts and renewals including:
-New application screening and verification
-Approve renewals only based on landlord approval
-Registration of tenancy contract through government websites
-Prepare report and forward for reconciliation purpose to accounts
-follow up on bounced cheques and daily report submission
-generates three months, two months and one-month renewal notices prior to the expiry of the existing tenancy agreements and preferably 120 days in advance renewal notice to ensure that the tenant is within the lawful period to confirm their intention to either renew or not
- sends a report on an excel sheet including details of communication with tenant along with tenancy file to Property Manager to prepare for legal case procedure.
\[Manage monitoring of forwarded contracts/documents for signature, rejected contracts, pending documents, etc. until it gets signed by the management
\[Efficiently manage all routine correspondence on mail, phone and liaise with office messengers.
\[Generate timely reports and corresponding analysis.
\[Maintain an accurate filing system so as to incorporate tenant information, building/ facility maintenance, and occupancy data and accounting records
\[Other Company related duties that may be assigned by the management that are consistent with the department and Company mandate
